Terms
Guest placing this reservation must be 25 years of age or older and must be present during duration of stay.
No pets are permitted at any time in property.
Reservations must be paid in full 30 days prior to arrival date.
Coastal Resort Sales and Rentals has the right to cancel this agreement without any refund to Guest if Guest intentionally damages the property, or violates any portion of this lodging agreement, including disturbing the peace. If damages to property or violations of the lodging agreement occur, Guest will be asked to leave property immediately.
Coastal Resort Sales and Rentals (Agent) is working and acting on behalf of the Owner of the above property. The Agent is employed and paid by the Owner and represents the Owner's best interests. This Lodging Agreement is a legally binding contract. The Owner and Agent of the above property have agreed to provide the above Guest with a nonexclusive, revocable agreement to occupy the above property for the above period of time. If the above Guest does not understand this Lodging Agreement, the Agent requests Guest seek legal advice. This Agreement must be signed within seven (7) days of the receipt of this Agreement to secure your reservation. If not received within 7 days of placing this reservation, Agent reserves the right to cancel the reservation and withhold any payments or deposits made at that time. GUEST(S):
At the Owner's request, the Agent has been instructed not to rent to non-chaperoned guests under the age of 25, high school graduates, and/or college groups. Any reservation placed by groups under the age of 25 will not be honored and are subject to cancellation without refund. Guests are required to present photo identification such a valid driver's license proving age of guest is 25 years of age or older and Guest must provide a valid credit card upon check in if requested. If Guest ID shows Guest does not meet age criteria, reservation will be cancelled immediately and Guest will not be given refund or access to property.
Check-in is between the hours of 3:00pm and 6:00pm. We only permit check-ins after the property has been cleaned and is ready for your arrival, regardless of time cleaning is completed. Guest understands cleaners may not be finished and property may not be ready by 3:00pm.. All cleanings will be completed no later than 6:00pm. Guest must notify Agent within one hour of arrival if cleaning is not acceptable. If no notification is made, property is assumed acceptable to Guest. Keys will not be given or released prior to the property being cleaned and ready. If Guest must check in after hours, Guest understands Agent and cleaning companies are closed and any concerns or complaints must be made between the hours of 9am and 10am the following morning.
After hours check ins must return to check in office no later than 12pm the following day with valid ID.
Check-out time is 10:00am and will be strictly enforced. All keys, pool passes, and parking passes must be returned to your check-in office, no later than 10:30am on the date of departure. There is a late fee assessed of Fifty Dollars ($50.00) for every 15 minutes late. This fee will be charged to the credit card on file. If arriving after 5:00pm, it is the responsibility of the Guest to call the Agent and make arrangements for check-in.
OCCUPANTS:
At no time during the lease term above shall the total number of occupants exceed the maximum number of occupancy set on the marketing of this property. At no time may responsible Guest sublet or allow unsupervised Guests to stay in property. This policy is strictly enforced and violation of this policy can result in cancellation of this reservation and removal of Guests and belongings without refund.
CANCELLATION POLICY:
All cancellations by Guest must be in writing. There is a mandatory cancellation fee of Ninety-Nine Dollars ($99) for any cancellation at any time after the reservation is made. If Guest cancels the Agreement 60 days or greater prior to the arrival date, there is $99 cancellation fee. If the Guest cancels the reservation between 31 to 59 days, there is a penalty of 50% of the total amount of the reservation plus the $99 cancellation fee. If Guest cancels the Agreement less than the 30 days prior to arrival date, there will be no refund and any deposits will be forfeited. The Agent may cancel this Agreement if the Guest, at any time during the stay, does not comply with the Rules and Regulations of the Condo Association or Homeowner Association, whichever is applicable. Agent also reserves the right to cancel Agreement if guest is not present during the duration of the stay. All occupants on the premises are the responsibility of the above Guest. This Agreement may be canceled by Agent if Guest fails to comply with the law, disturbs the peace, or becomes verbally abusive to any representative or associate of the Agent. Any changes to the reservation, such as changing dates of arrival or departure, moving to another rental property, etc. are subject to a $99 change fee.
REFUNDS:
No refunds or reductions in rent will be given to any guest who refuses to take occupancy of a property. Each property is represented clearly in photos. It is the Guest's responsibility to view all photos carefully to ensure they are pleased with the condition and décor of the property. If necessary during the rental season, a mandatory replacement of furniture is required; a similar quality replacement will be made. No refunds will be given to any guest for the displeasure of the décor/condition of a property. There will be no reduction of rent, refund, or rebate issued for any failure of an appliance such as heating/cooling, hot water, dishwasher, washer/dryer, TV, WIFI service, etc. It is the responsibility of the Guest to alert the Agent immediately of item in need of repair. The Agent will make every attempt to have the repair made as quickly as possible.
INCLEMENT WEATHER:
Guest understands that there will be no refund due to inclement weather such as hurricanes or other acts of nature. It is Guests' responsibility to purchase traveler's insurance at Guests' expense and discretion.
PET POLICY:
At no time are pets permitted in this property during duration of stay. If Guest violates this policy, Guest will be immediately evicted and no refund will be given. Additional expenses may be incurred by Guest if excessive cleaning is required.
SMOKING/ MARIJUANA/ VAPING POLICY:
At no time is the above permitted in the property. If it is discovered that during the time of your stay there has been smoking of any kind or vaping, there will be a fine of up to $150 for the removal of odors/ offensive smells.
DAMAGES/ EXCESSIVE CLEANING:
By signing this Agreement, Guest promises to surrender Property in as good or same condition as when Guest arrived. If guest notices any pre-existing damage to property, it is the Guest's responsibility to notify Agent within one hour of arrival. Upon departure, the property will be inspected; any negligent damage above normal wear and tear will be the responsibility of the Guest and will be charged to the credit card on file. Property must be broom swept, refrigerator emptied of contents, and trash taken to appropriate receptacle prior to departure or excessive cleaning expenses may occur. Additional fees may also be charged if furniture is moved and not returned to original location upon departure. The Security Deposit Wavier Fee will not be utilized for excessive cleaning; the Guest is responsible for any additional cleaning fees/expenses, as well as court and legal fees if necessary. If the credit card on file is declined or unable to be used for the amount for the damage, the Guest will be legally and financially responsible for any fees incurred.
Toilets may not be used for anything other than toilet paper. If, during the stay, an issue arises that the toilet was used improperly and plumbing expenses are incurred, any cost will be the responsibility of the Guest and the Security Deposit Waiver Fee will not be applicable.
Many service calls arise during time of reservations including HVAC calls. plumbing issues, and general maintenance that may be determined by a professional service technician to be a result of negligence by the Guest. If damages or repairs are needed as a result of your party residing in the property, Guest assumes responsibility for maintenance call/repair cost. If your property has a smart thermostat, please do not change or alter codes controlling thermostat.
Recommendations to avoid maintenance calls:
Do not place anything in garbage disposal other than permittable items. Do not place plastic of any kind, egg shells, bottle caps, etc. in disposal. Disposals are tested prior o your arrival and cleaned of debris.
Do not place anything in toilets other than septic approved toilet tissue.
Do not open doors and turn on AC simultaneously. Do not turn AC down more than a few degrees at a time or any lower than 68 degrees or freezing may occur of unit. This will result in a costly maintenance call which will be at the expense of the Guest.
Agent/ maintenance technicians have right to access property to make necessary repairs during stay.
LOST OR FORGOTTEN ITEMS:
It is the responsibility of the Guest to remove all personal items upon their departure. Agent is not responsible for any personal, lost, or forgotten items. Any unclaimed or forgotten items may be disposed of upon Guests departure. If personal items are found after departure, a $35 fee will be imposed to mail, ship, or return items in addition to the cost of the shipping at Guests' request.
YOUR PROPERTY DOES NOT PROVIDE SHEETS, PILLOW CASES, OR BATH TOWELS WITH YOUR RENTAL.
Rentals for the items are available for an additional fee. Please contact our office to place your linen reservation. Rentals and/or purchases must be placed a minimum of 5 days prior to arrival by calling our office at 443-664-2884.
LOCKOUT:
Office hours are between 9:00am and 6:00pm each day. If Guest(s) locks themselves out of the property, loses property key, etc. and are unable to access the inside of property during the hours of 6:00pm and 9:00am, Guest must call OC Flash Lockout at 443-664-2650, or other licensed locksmith, and are responsible for any fees associated with gaining access. Locks may not be removed or replaced under any circumstances during time of stay.
AMENITIES OF BUILDING OR ASSOCIATION:
Coastal Resort is not responsible for the building or association's choice to open or close any amenity such as pool, tennis courts, etc. Guest understands that amenities may not be available due to inclement weather, etc. and there will be no refunds given for loss of availability during stay. Guest agrees to abide by buildings rules and regulations during stay.
WIFI AND/OR CABLE:
During the duration of your stay, Guest will be responsible for any and all charges associated with the Owner's account other than the standard options the Owner of the property provides. Any illegal downloads, unauthorized streaming, etc. will be the sole responsibility of the Guest and any fines and/or fees incurred will be paid by Guest.
PAYMENT:
Guest understands that the balance of the reservation must be paid in full 30 days prior to your arrival date. It is the Guest's responsibility to notify Coastal Resort 30 days prior to arrival date of preferred payment method for final balance. If Guest fails to make arrangements, the credit card on file will be charged. If credit card is unable to be charged, Coastal Resort has the right to cancel the reservation. All applicable cancellation fees will apply according to the cancellation policy above.
Any payments applied to this reservation may only be collected by a Guest on this Lodging Agreement. Any additional payments from any person or Guest will only be accepted if guest name is added to reservation. Only once a signed Lodging Agreement with additional name is received, may this payment be made and accepted.
SECURITY DEPOSIT:
If an additional security deposit is required for your stay, the security deposit will be returned to Guest within 30 days of departure, pending property is conveyed in same condition as when Guest arrived at property. All security deposits will be paid 30 days prior to the arrival date of reservation.
SECURITY DEPOSIT WAIVER FEE:
In lieu of a security deposit, a $79 nonrefundable Security Deposit Waiver Fee will be assessed to protect you from accidental damage during your stay. This waiver covers the interior of the rental property only from the time of check-in to the time of check-out. This does not cover acts of God, intentional acts or gross negligence, theft, damages caused by pets, loss of use of the property, loss or forgotten personal belongings, or damage caused by any motorized vehicle or water craft. The maximum amount of coverage is $1500. Coastal Resort has the authority to determine the cause of damage and if the damage is covered by the Security Deposit Waiver Fee.
LIABILITY OF INJURY OR DAMAGE:
Coastal Resort is not responsible for any personal injury or property damage that may result in connection with Guests' use of property. Coastal Resort and/or its vendors have the right to gain access to the property at any time to inspect the property.
CHECK-IN PROCEDURE:
Ocean City Rentals located NORTH of 37th Street, with the exception of the Capri, 9400 Building, Quay, Rainbow, & Century: will check-in at our main office located at 8008 Coastal Highway, Ocean City, MD 21842. The office is located at the corner of 80th and 81st street, on the ocean side of Coastal Highway. We will quickly greet you with your complimentary beach bag, keys, parking passes, etc. As a friendly reminder, our beach bags are filled with paper towels, bathroom tissue, bathroom toiletries, trash bags, dish and laundry detergent, and more. Please have your photo ID available for check in. Check in is between 4pm and 6pm. If you will be arriving after 6pm, you will need to call our office to make arrangements for check-in.
Ocean City Rentals located SOUTH of and including 37th Street will check in at our West Ocean City location. The address is 12449 Ocean Gateway, Ocean City, and is located directly beside Waterman's Seafood restaurant. Quay Building Rentals check in is located at 10700 Coastal Highway, Ocean City. Upon arrival, proceed to the front entrance by the Quay Security, then take the elevators to the 2nd floor. Century I Building Rentals check in is located at 9900 Coastal Highway, Ocean City. Upon arrival, proceed through the front entrance to the second floor, our office is located to the right, by the Century I Security office. For your convenience, a service elevator can be found at the end of the south side of the building. Rainbow Building Rentals check in is located at 11200 Coastal Highway, Ocean City. Check in is at our office located on the 1st floor. Please take the elevator to the 1st floor, make a left and our office is down the hallway to the right, suite #103. 9400 Building Rentals check in is located at 9400 Coastal Highway, Ocean City. Upon arrival, you will use the code 8008* to enter the building. Check in is at our office located on the 1st floor in the lobby. Please look for the Coastal Resort sign. Ocean Pines Rentals check in will be directly at the property's location. Guest will access the property by retrieving key in lock box. Coastal Resort will email guest their unique lock box code 7 days prior to check-in. Effective March 3rd 2021- Ocean Pines will permit Guests to access pools for a per day fee of: $8 per adult, $6 per child (17-5 years old), children 4 and under do not need a pass. Fees are to be paid at the pool directly. Guests are welcome to purchase the Ocean Pines Beach Club Parking Permit from the Ocean Pines Association office directly for $125 per week. Permits must be ordered 7 days or greater prior to check-in. Please call for additional assistance. Guest welcome bags can be picked up at our Ocean City office through curbside check-in. When you arrive at our office, we will be available outside at our new check-in tiki hut! Please call our office at 443-664-2884 and provide us with the make and model of your car. CHECK-OUT PROCEDURE:
All Ocean City Rentals must check-out no later than 10:00am on the date of departure. Upon departure, please drop off all keys, pool passes, parking passes, etc. associated with your reservation. Lost keys will be assessed $50 per key. There is a $150 fee imposed for lost pool passes and/or laminates parking passes.
Ocean Pines Rentals must check-out no later than 10:00am on the date of departure. Please return keys to lock box using lock box information provided prior to check in.
*I, and any of my invited guests staying as a result of my reservation, agree to indemnify and hold harmless Coastal Resort Sales and Rentals against any and all claims, suits and actions of any kind whatsoever for liability. damages, or compensation brought by me or anyone on my behalf, including attorney's fees, and any related costs. If litigation arises, pursuant to any claims made by me or any guest of my party, I agree to reimburse Coastal Resort Sales and Rentals for any type of legal expenses they may incur.
